Home
Browse, search, play back, export, delete, and sync your notes.
Home is Oak Note's main screen. Every note lands here newest-first, whether it came from your Oak Note, a file, or a share from another app.
A ready note shows its title. A note that is still being made shows its stage instead:
| Stage | What it means |
|---|---|
| Recording | Your Oak Note is recording. |
| Transferring | The audio is coming from your Oak Note to your phone, with its progress. |
| Processing | The note is being transcribed and summarized. |
| Waiting | Nothing is moving right now. One line says what the note is waiting for. |
| Couldn’t process | Oak Note couldn't make this note. Open it to see why, and to try again where it can. |
A waiting note continues on its own when it can: when your phone is back online, when your daily limit resets, or when Oak Note tries again. If it's waiting for its recording and the recording is on this phone, the line says to open the note, where you tap Try now. If the recording is on your other phone, the line says Still on your other phone. Open Oak Note on that phone: a recording it hadn't finished sending then finishes by itself, and if Oak Note needs a recording again, open the note there and tap Try now.
Search and organize
Search covers note titles and, once a note is ready, the words spoken inside it. Open a result and you land in the note, where you can search the transcript to find the exact line.
Rename a note from its detail screen, or tap the more button on its row and choose Edit title; a clear title helps when you come back a month later. The list is always newest first and grouped by date, and Go to date jumps straight to an earlier day.
Long-press a note to start selecting. With notes selected you can add them to folders, export them together, or delete them, which moves them to Trash.
Playback
Open a note to play its audio. Drag the playback bar to jump anywhere in the recording; the elapsed and total time sit beside it.
The transcript is time-aligned to the word, so tapping any line jumps playback to that moment, and the current line stays highlighted as the audio plays. Finding a sentence by reading and tapping it is almost always faster than scrubbing.
Export
Export saves a file through your phone's Files picker, where you choose where it goes. Export one note from its more menu, or select several notes on Home and export them together as one ZIP.
| Content | Formats |
|---|---|
| Original audio | The original recording |
| Transcript | PDF, DOCX, Markdown, Plain text |
| Summary | PDF, DOCX, Markdown, Plain text |
| Subtitles | SRT, built from the transcript |
Choose PDF to read or print, DOCX to keep editing in Word or Google Docs, Markdown when the destination understands formatting, and Plain text when it should paste anywhere. SRT is built from the transcript's word timings, so captions land in sync when you drop the file into a video editor.
Exports capture the current version including your edits, so export again after you edit or regenerate. Text export needs a finished transcript; the audio can be exported right away.
Trash
Deleting a note moves it to Trash along with its audio, transcript, summary, and to-dos. It stays there for 7 days and can be restored intact at any point in that window. After 7 days Oak Note deletes it permanently, and deleting from Trash yourself skips the wait. A note that was already in Trash before this changed keeps the deadline it had.
Permanent deletion cannot be undone. Export anything you might want later before emptying Trash.
Working offline and across devices
Your notes live on your phone first, so playback, renaming, and browsing all work with no connection. The cloud adds transcripts and summaries when you're online; it doesn't gatekeep the audio.
Oak Note syncs when you open the app rather than constantly in the background, so a device that has been sitting closed catches up on launch. Anything you did offline is queued and sent then.
Two rules settle conflicts: the newest revision wins when two devices edit the same thing, and a deletion always wins over an in-flight upload or edit, so a deleted note never reappears. One caveat: a note only reaches your other devices after the phone that holds its audio finishes uploading it.
